365 Microsoft MFA (Multi Factor Authentication) User Guide

Overview

Congratulations! Your company has pushed ahead of the pack and is now ensuring the security of your network with two factor authentication. That is, enforcing your users to use not only the standard username and password, but a second authentication form that cannot be obtained by hackers. This is referred to within the IT Industry as two factor authentication.

The below guide will walk you through enabling this two factor.

Process

1. Log into http://aka.ms/mfasetup with your Work Office 365 / Microsoft account - it is likely this account is the same one you use to log into your email account.

2. When prompted about more information being required, click Next.

3. For ease of usage, change the dropdown to "Mobile App" within Step 1 (if this is already selected, you should skip to the next step).

This will allow Microsoft to send you "Approve / Deny" prompts instead of needing to type a 6 digit code.

4. Within the options, select "Receive notifications for verification"

5. If you do not have the app installed on your phone, click the "Setup" button.

6. Setup "Microsoft Authenticator" App on your phone via Apple Store or Google Play Store

7. Open the App, follow initial prompts

8. When asked, select "Work account" from the options then "Scan a QR Code" 

9. Scan the code that appears on the screen and select Next 

10. Enter the confirmation code that appears on the screen in the phone. 

Open the App on your mobile, and click Approve.

Depending on your companies settings, you will receive one of the two screens below. Please follow the correct set of instructions.

Prompted for App

1. If this option is appearing on your screen, you do not need to change anything. If you wish to add another mobile device as a backup authenticator, you can do this by clicking "Set up Authenticator app"

Otherwise if you only need your single device to be used, click the Cancel button.

This will NOT cancel your setup, but indicates further devices are not required.

Prompted for Mobile Number Setup

1. To ensure you can still access the system if your mobile is reset, or you remove the application, select Australia from the dropdown and enter your mobile number into Step 3 and click done.

You can now close the window, as your Microsoft Multi-Factor Authentication has been configured.

You will be prompted for this authentication when you log into Microsoft services from various locations.
