Overview
PassPortal is a service provided by Consulting IT that allows your entire company to access shared passwords, along with providing each user their own private password vault to ensure all passwords are securely stored.
The added bonus of using a password management system such as PassPortal, is that this application allows you to set randomly generated passwords for each service, ensuring if one of your passwords is compromised, the hacker stops at that one account, as it does not share a password with any other login!
This keeps your systems secure and safe while browsing the internet.
Forgotten your password?
If you have forgotten your password, the best way to reset it is to visit https://cit-c.mypasswordapp.com.au and click on the Forgot Password? link below the password field.
Please note that password reset emails can take up to 5-10 minutes to arrive.
Browser Plugin (Recommended)
The website portal page (in the second half of this article) has a tight time out, configured specifically to ensure if you login on another computer to grab a password, your passwords are not exposed for too long.
This is not usable for standard day to day usage, so a browser plugin helps to alleviate these issues.
This should already be installed on your company-provided computer, have a look for the key icon, as per the below screenshot.
Browser Plugin - Installation
If the plugin is not installed, you can install it from your browser's extensions/plugins/add-ons store.
We recommend you only install and log into this plugin on computers you trust - for all other computers you should use the web portal due to the time out protection it offers.
The browser plugin is available for Microsoft Edge (Consulting IT's recommended browser), Google Chrome and Firefox.
Browser Plugin - Login
Once your plugin is installed, click the PassPortal icon to start the login process.
When this has loaded, type in your username, password and Organization Key (please see your Site Administrator for this key - Consulting IT do not have access to this key).
Select "Australia" as your location and if you trust this computer, slide the "Remember Me" bar, and click Log In.
Browser Plugin - Daily Usage
The browser plugin will work in two ways by default.
First, the icon will flag with a number if it contains a password that matches the website you are on:
Second, the icon will appear within password fields for sites you visit, allowing you to quickly click and fill the password:
You can also manually search for passwords and launch the website directly from the plugin. This will open from a brand new browser window and automatically fill in the username and password for you.
The plugin has two tabs - websites and credentials. The website tab filters off your own vault, and allows you to view all websites.
The credentials tab will allow you to filter between your passwords and your company vault.
Searching for passwords without expanding either of the sub options will search across all of the passwords you have access to.
Adding New Passwords - Browser Plugin
If you either create a new password, or login to a website manually, the browser plugin will automatically request to add this new password to its vault if it detects that this password does not already exist.
You can also manually add passwords by clicking on the browser icon, and selecting the + symbol:
By default the browser plugin will try and place this new password into you vault. If you would prefer this new password be within your Company Vault, select your Company name from the "Vault" dropdown list.
Web Portal Access
The Web Portal URL- https://au-clover.passportalmsp.com/
You will receive an initial email for setup, and once you have setup your Password and entered your Organizational Key (please see your main site administrator for this - Consulting IT do not have access to this key at all for security reasons) you are able to access PassPortal.
Within the Web Portal, depending on the access you have been provided, you should see two "Vaults":
My Vault
This is your own personal password storage location. No one other than yourself can access any passwords stored in here, including your site administrator and Consulting IT - all passwords stored within My Vault are 100% protected from any administrative access.
You should use this vault for any password that only YOU will use - anything that requires access by other users should be stored within the Company Vault.
Company Vault
This is where all of your company passwords should be stored.
Your view of this Vault may differ from user to user, as certain folders may be locked down to be viewed only be specific teams (IE: Finance passwords shared only with the finance team, CEO level passwords only shared with their Executive Assistances etc).
Any password added to this vault will be accessible by anyone who has access to the folder the password has been added into.
Company Vault - Shared Passwords
Additionally, passwords in this Vault can be "shared" with Consulting IT, and vice versa.
This is especially handy for things such as Wifi Passwords - if Consulting IT are requested to change this password, they update the shared record and both Consulting IT and your employees have instant access to the new password.
This helps to prevent double up of passwords, confusion if "our password or Consulting IT's is the right one" etc.
Adding New Passwords - Web Portal
While logged into the web portal, you can add new passwords quickly and easily.
Select the Vault you want to add the new password into (Your personal vault or Company Vault) and at the top of the page, click New>Password. You can also add a new Folder in the same way for your own vault. The access to your Company Vault may be different, and you may only be able to add a new password.
Fill in the required details, ensuring you put a URL in place if you want this to be a website flagged password and click Create.
